  2. Information We May Collect From You

2.1 We may collect and process, either directly as data controller or through our data processors, the following data about you:
2.1.1 Information that you provide by filling in forms on our website www.emeaconferences.com (the “”Site). This includes information provided at the time of registering to any of our conferences or other events (collectively the “Event(s)”). If you register for one of our Events, we will collect your name, contact and billing information, which we will store in our database(s) and use to provide you with information and services associated with the Event, and our further Events and to invoice you for the Event you are registering at. The legal ground for processing this way your data will be the agreement concluded between us upon your registration to our Events. In case of invoicing, data will be stored as required by the accountancy regulations.

2.1.2. Information we may ask you when you report a problem with our Site.
2.1.3 Information that is publicly available such as from details at the Registry of Commerce.
2.1.4 If you contact us by email, fax, telephone or post or if you come to see us and leave your details, we may keep a record of that correspondence.
2.1.5 If you make an order to us such as requesting registration for an event we may collect your details.
2.1.6 We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
2.1.7 Photos and/or any recordings of you participating at our Events.

2.2. We keep a record of your participation in EMEA Consultants events. This information may be used to contact you about EMEA Consultants future Events. It may also be used to help us understand your needs and interests to better tailor our services to meet your needs. Some of our Events are sponsored. EMEA Consultants may provide an attendee list to sponsors, co-sponsors and presenters/moderators at our Events. This information will be stored maximum 10 (ten) years from the last Event you have participated to. You will not be subject to any automated decision, including profiling.

2.3 We use Eventbrite and Eventbook to assist us with the marketing of and registration to our Events, Smart Bill to assist us with billing, RelCris SRL to assist us with accounting, Euroweb SRL to assist us with the web hosting of our Site NETOPIA Payments to assist us with online payment, and any ad-hoc provider of IT, graphic, design, printing, transportation and other services related to our workshops and conferences. By registering, you acknowledge that your information will be processed by us and aforementioned entities and that will be transferred to and from such entities from and to us.

6.2 We may also share personal information (other than payment information) of the Event attendees with the other persons (e.g. attendees, speakers etc) attending the Event. The purpose of this is to enable the Event attendees to contact each other after the Event for networking purposes.

6.3. We share your personal information with RelCris SRL for accounting purposes, with Eventbrite and Eventbook SRL to assist with the marketing of and registration to our Events, to Smart Bill to assist us with billing, Euroweb SRL to assist us with the web hosting of our Site, to Tawk.to to assist us with providing information upon the requests of the persons contacting us on the website, to drivers to pick up speakers from airport, to printing companies to print conferences material, and NETOPIA Payments to assist us with online payment. By registering, you acknowledge that your information will be processed by us and aforementioned entities and that will be transferred to/from such entities from/to us.

  1. Your Rights

7.1 You have the right to ask us not to process your personal data. You can exercise your right to prevent such processing at any time by contacting us at [email protected] or by sending us a letter to our offices (see address details).

8.1 The storage/processing of personal data shall be made under the following conditions:

(i)           strictly during the term necessary for the fulfillment of scope set forth above;

(ii)          pursuant to the advice of the IT advisors on the electronic storage, processing and transmission of data;

(iii)        strictly observing the applicable legal provisions;

(iv)       by training the persons dealing with the processing of data on the legal provisions regarding data processing, the minimum security requirements and the risks attached to processing activities;

(v)         by taking measures to ensure that access to premises and rooms where personal data are stored is restricted (access to be permitted only to authorized persons, alarm systems to be used, etc.);

(vi)        by taking measures to restrict access to electronic systems (by blocking computers after a certain period of inactivity; maintaining confidentiality of access passwords to data base, etc.);

(vii)     by avoiding leaving documents unattended in printers, scanners, facsimile machines;

(viii)    by verifying all information both with respect to content and addressees prior to sending it.

30.10.2020: If you receive e-mails from unknown addresses which contain in the text e-mail addresses @emeaconferences.com or @emeaconsultants.com, and a password, with an archive attached, please do not open or download, but delete immediately. It seems our e-mail addresses are used illegally in the text of malicious e-mails.
According to Cert-ro, this is a situation concerning several organizations from Romania & Europe.
On our side, we took supplementary IT security measures.
